Definition
The customer support process is the total of all the activities involved in customer service. It has different phases, starting from when customers contact an agent through information gathering and finally delivering help.
CONTACT -> RESPONSE& INFORMATION GATHERING -> STRATEGY & SOLUTION STRATEGY -> PROBLEM SOLVING -> COMPLETION
In general, the customer support process includes some of these steps and phases –
Contact / Greeting – This is the first step of the customer support process. It denotes how every support starts with a customer contacting the business for a solution.
Listening to the Problem / trying to understand the issue – Once the customer contacts a business, he/she expects the support agent to carefully listen to what they say before planning a solution strategy.
Repeating the problem to confirm - Ensure you capture all the issues and complaints made.
Looking for Solution Strategy – when you listen to what customers say, you must move ahead with the solution. You need to formulate the right solution strategy for customers.
Providing a Solution or Redirecting to the Proper Person – Once the customer problem is listened to and a strategy formulated for help, the next stage is to solve the problem.
Farewell/Completion and thanking the Customer – After the problem is solved, it’s essential to make customers feel good and leave a positive impression on them.
Offering timely and relevant support to customers is vital for many reasons.
Customer Satisfaction – Support affects how customers perceive a brand. When the support is prompt and solves the problem immediately, it can be a great tool to boost customer satisfaction.
